Fan Fest Northwest
About:
Fan Fest Northwest is a Yakima Comic Convention event that brings fans together in a celebration of pop culture.
ALL proceeds from this event go to services and resources for Youth and Young Adults Experiencing Homelessness. Every ticket sale and vendor booth reservation is a donation to shelters, food, and help for young people.

Code of Conduct
Respect & Safety at Fan Fest Northwest
Fan Fest Northwest is a place for fun, creativity, and respect. Please be kind, courteous, and mindful of others and their property. Harassment or offensive behavior will not be tolerated.
If you feel unsafe or see someone violating this policy, please alert security or staff immediately so we can help. Violations may result in badge revocation without refund.

Core Conduct
- At Fan Fest Northwest, we welcome all people, regardless of sex, gender identity/expression, national origin, sexual orientation, disability, physical appearance, race/ethnicity, age, religion, class, body type, or size.
- Environment must be inclusive, and harassment-free for all.
- These principles applies at all times: pre-, during, and post-convention, including online interactions and the Fan Fest Northwest afterparty.
- Attendance implies agreement with the Code of Conduct.
- We have the right to remove attendees from the event, the afterparty, or all related Fan Fest locations, and exclude from future events if violations occur.
Manners & Etiquette
- Be polite: respect tone, body language, and personal boundaries.
- “Costumes are not consent”: always ask before touching or photographing.
- Avoid overtly lewd public displays of affection. (come on, people)
- Please maintain basic principles of hygiene. (again, come on people)
Prohibited Behavior
- No obstruction of pathways or disruptive actions.
- No harassment, verbal or physical.
- No illegal or dangerous activities.
- Shoplifting or theft = We will report you to the authorities. No refunds will be issued.
- Drug/alcohol intoxication or unauthorized selling is forbidden. No smoking of any kind on the event grounds.
- HOWEVER, alcohol is welcome and encouraged at the official Fan Fest Northwest afterparty at Single Hill Brewing!
- No outside food or drink at the Yakima Convention Center where Fan Fest Northwest is held.
Service Animals
Service animals are permitted throughout the venue; however, this DOES NOT include:
- Emotional support animals
- Therapy animals
- Companion animals
Pets are not allowed and will be turned away. Only legitimate service animals that are properly trained and under the proper care of their owners will be allowed into the event and provided with the appropriate credentials.
- All service animals must remain by the handler’s side at all times and must be harnessed, leashed, or tethered, unless these devices interfere with the service animal’s work or the individual’s disability prevents using these devices. In that case, the individual must maintain control of the animal through voice, signal, or other effective controls.
- Service animals must be housebroken and should use the service animal relief area.
- Anyone bringing an animal will be responsible for and liable for any damage or injury caused by the animal.
- All animals should have legally required vaccinations.
Costume Props Policy
Fan Fest Northwest Props Policy
All costume props must be inspected at the Fan Fest Props Desk.
Approval & Tagging
After inspection, approved props will be tagged. Tags must remain visible throughout the event. Untagged props will be directed to a Costume Props Desk for inspection.
Prop Guidelines
- All cosplay must follow the Fan Fest Code of Conduct.
- No functional or sharp-edged props or weapons.
- Props must comply with state and federal law.
- Replica projectile props must be rendered inoperable and have bright-colored caps.
- Functional arrows must have tips removed and be zip-tied to a quiver.
- Some props may need to be secured to your costume.
- Stilted costumes require approval.
- Realistic first responder/security cosplay is prohibited.
- Oversized costumes may be restricted in crowded areas.

Accepted Vendor Policy
Non-Refundable, Non-Transferable Policy:
By submitting an application and remitting payment to vend at Fan Fest Northwest, you acknowledge and agree to the following terms:
All vendor fees are non-refundable.
Once your application is accepted and payment is received, no refunds will be issued for any reason, including but not limited to scheduling conflicts, weather, illness, or changes in personal or business circumstances.
Vendor spaces are non-transferable.
Approved vendor booths may not be sold, transferred, or sublet to another party. Only the business or individual named in the original application may vend in the assigned space. Sharing a space with another business without prior written approval is strictly prohibited.
Event Cancellation or Rescheduling:
In the unlikely event that Fan Fest Northwest is canceled or rescheduled due to circumstances beyond our control (including but not limited to natural disasters, acts of God, venue changes, or government restrictions), vendor fees will be credited toward a future Fan Fest Northwest event, but no refunds will be issued.
Must Review Before Submitting Application:
Vendors are responsible for reviewing all event details, guidelines, and requirements before submitting an application and payment. Submission of an application constitutes acceptance of all event terms and conditions.
This policy is in place to maintain fairness, consistency, and transparency for all participants and to ensure the successful execution of Fan Fest Northwest.
